Receives and resolves inquiries and/or complaints concerning event food, beverages, and service.Follows up with the members, managers, and staff to solicit feedback on events identifies, prepares, and communicates post-event reports on the successes and effectiveness of each event as well as areas of opportunity for improvement.Upon completion of events, works with Banquet Manager to prepare and review itemized list of all charges and service fees ensuring accuracy of final billing statements.Anticipates event attendee needs and manages preparations to ensure all needs are met.Works with Executive Chef and Clubhouse Manager to establish appropriate menu pricing.Prepares and updates all banquet event orders, meets with and disseminates detailed information to all managers involved in event preparation at weekly managers meetings and as needed ensures all details are addressed and answers are provided to all inquiriesEnsures consistent levels of quality and service, proper setup, and service of functions by ensuring accuracy of banquet event orders containing complete details. Coordinates and conducts on site tours for members, organizations, and sponsored guests.Plans and communicates logistics for all events, including food and beverage selections, adequate space to accommodate guests and planned activities, room preparation and setup, staffing needs, floor plans and seating charts, audio/visual equipment, parking and security arrangements, rental equipment and furniture, entertainment, valet parking services, transportation services, décor, adequate and appropriate staffing, and housekeeping requirements.Standard hours of operation are Monday through Friday however, hours may vary due to special circumstances or events as business dictates. Must be able to prioritize and coordinate multiple events while meeting tight deadlines and effectively communicating event updates on an ongoing basis must be highly proficient with software applications including Jonas/Jam, Microsoft Word, Excel, PowerPoint and Outlook. Updates and delivers final billing invoices to members for review and payment. Creates, updates, and delivers banquet event orders, ensuring that all details including ensuring adequate space, floor plans, equipment needs, vendor deliveries, food and beverage menu selections, and other important details are finalized with external stakeholders, and communicated thoroughly and effectively to internal stakeholders. Responsible for administrative event planning responsibilities including all communication with members, from initial phone call to planning meeting, to event completion. Plama Ceia Golf and Country Club is seeking an experienced Event Planning Manager, who will be responsible for back-of-the-house hands-on planning and delivery of all events held at the Club and works with the members, Clubhouse Manager, Maintenance Director, Banquet Manager, and Executive Chef to exceed members’ expectations while maintaining the highest standards of service, quality, health, and safety.
